Why we run it

Most inbox tools try to answer for you. This one only tells you what matters, so the risk is close to zero and you get the value on day one.

Steps

  1. Connect the inboxes you want watched to Grok (read access is enough).
  2. Create a scheduled routine that runs every hour inside your working hours, not 24/7.
  3. Paste the triage prompt below and list your real priorities: customers, money, legal, family.
  4. Ask for a maximum of five items per run, each with sender, one-line summary and the action you need to take.
  5. Tell it to stay silent when nothing qualifies. An empty hour should produce no message.
  6. After a week, add the senders it keeps flagging wrongly to an ignore list in the prompt.
The promptFree

This one is free with the newsletter. Enter your email and the full prompt appears here.

Guardrails

  • Read-only: the routine never replies, archives or deletes.
  • Runs 8 am to 9 pm only. Nobody needs a security alert summary at 3 am that they can't act on.
  • Silence is the default. A digest that always says something gets ignored within a week.

What broke

  • Running it around the clock produced overnight messages nobody could act on. We limited it to 8 am to 9 pm.
  • New-device sign-in alerts from our own setup work showed up as 'security' items. They were correct, but noisy on setup days. We now mention when we're setting up new machines.
